Planning a Private Yacht Party: A Request Checklist

Organise your guest list, yacht shortlist and optional celebration requests. Use a written checklist to distinguish preferences from confirmed arrangements.

A private yacht celebration starts with decisions about people, space and timing—not a decoration package. This checklist helps you prepare a clear enquiry and compare the written responses. It does not describe a fixed Evali package or confirm that any optional item is available.

Start with a usable event brief

Write down the occasion, preferred date, a possible alternative date, guest count and requested time on board. Identify one organiser who can collect guest requirements and approve changes. If the count is provisional, say so rather than treating the largest possible group as confirmed.

    • Separate your essential requirements from nice-to-have requests.
    • Tell the provider about children or access requirements that affect vessel selection, without circulating private guest details unnecessarily.
    • Decide whether your priority is conversation, dining or a celebration setup; the same layout may not suit every plan.

Shortlist for the gathering, not just the photograph

Use the yacht catalogue to compare published capacity, size and price information. Then ask whether your intended guest count and proposed setup are suitable for the specific vessel. Published maximum capacity does not tell you how much usable space remains after tables, decorations or supplier equipment are added.

Ask for current layout information and confirmation of any areas you expect to use. Do not infer a dance floor, dining arrangement, sound system or event equipment from a generic photograph. The yacht and your proposed use should be confirmed together.

Keep optional requests separate from the yacht quotation

Cake, flowers, balloons, catering, music and photography are requests, not assumed inclusions. For each item, ask who supplies it, whether the yacht permits it, the price, the required lead time and who coordinates delivery or setup. An inspiration photo is a reference, not an agreement to reproduce the setup.

    • Catering: request menu options and ask how dietary needs would be handled.
    • Decorations: describe your preferred look and ask which materials and fixing methods are permitted.
    • Music: discuss the proposed setup and the yacht's conduct and sound rules.
    • Photography: agree the requested coverage and any separate supplier arrangements.

Build a flexible sequence before fixing times

List the moments that matter—guest arrival, introductions, food, cake or a group photograph—and ask whether they fit the requested duration. Obtain the departure instructions, boarding arrangements and any supplier access times from the final confirmation. A planning outline should not promise a particular route, landmark stop or sailing schedule.

If a surprise is involved, tell the coordinator which details should remain private and how the organiser can be contacted. Keep one version of the plan so guests and suppliers are not following conflicting instructions.

Compare the written details before confirming

Check the named yacht, guest count, date, duration, agreed price and separately priced optional items. Ask for clarification of anything missing, including the applicable payment and change terms. This checklist does not set a deposit, refund or cancellation policy.

A useful comparison has three columns: requested, confirmed in writing, and still open. Leave an item in the last column until the responsible provider answers it. A WhatsApp enquiry or an attractive package image is not a confirmed booking.

    Prepare your party enquiry

Send: occasion; preferred date and alternative; guest count; requested duration; yacht shortlist; essential setup needs; and optional items requiring separate quotes. Use the private yacht party request page to organise the next step. Availability and the final arrangements remain subject to confirmation.
